Length isn’t a detail. It’s the quality of care.
The calendar places every appointment at its real length. Nothing is squeezed into a fixed grid.
Motice is AI-powered booking software for wellness and physiotherapy practices. Appointments of different lengths, practitioner schedules, client packages and payments all come together in one place, so the team starts the day ready.

Getting the day ready
Every service has its own length, every practitioner their own hours, every client their own remaining sessions. Booking means looking at all three at once.
The calendar places every appointment at its real length. Nothing is squeezed into a fixed grid.
How many sessions a client has left is in front of you as you book. No argument afterwards.
No client record opens until the time and source of their KVKK consent is written down.

How do appointments of different lengths share one calendar?

Manual therapy 45 minutes, clinical pilates 50, an initial assessment 60. The calendar places every appointment at its real length, and a clashing booking is never written against the same practitioner.

What you can do
Length, practitioner, remaining sessions, consent and payment all come together in the same client flow. Before an appointment the team reaches everything from one place.
The status you mark also writes the client’s balance. A no-show needs a reason, and once a register is marked it cannot be changed without leaving a trace.
When a spot opens, the next client is moved into the session. You don’t have to do anything.
The moment a client uses a session, the practitioner’s earning lands in their account.
A practitioner opens their own day. They cannot reach revenue or another practitioner’s schedule.
Who changed what, and when, stays on the record. A correction does not erase history, it is written on top of it. If the Motice support team enters your account, that lands on the same trail.
No client record opens until the time and source of consent is written down. Email permission is checked at send time too, so nobody without it receives a first-contact email.
They switch their preferences on and off in the portal themselves, and who changed what, when, goes on the record.
A management-only note requires its own permission. Notes never change quietly: new information becomes a new line. It never reaches the portal or the AI assistant.
The interface, the session package logic and the reports were all shaped around how practices here actually work.

Client portal
Your client sees the open slots themselves, books and cancels. Remaining sessions and the next appointment appear on the same screen, and a new booking sends a confirmation email.
Clients pick an open slot themselves, and your cancellation rule is set in the system.
The date and time of a new appointment are emailed to the client.
Reporting
Empty hours, packages nearing expiry and outstanding payments, all on one screen. You plan the week on numbers, not hunches.

Try it with your own service types. We’ll get to know your practice and plan the setup together.
Getting started
From day one everyone looks at the same information. Enter your clients, set up the practice, invite the team.
Add your clients and their remaining sessions. From day one your team and your clients see the same balance.
Service types and their lengths, practitioner schedules and your cancellation rule are configured around how you work.
Practitioners sign in with their own accounts, clients through a portal invitation. We stay with you through the first week.
Most practices start with an appointment book, a spreadsheet and a phone. As client numbers grow, none of the three saves time any more; they produce mistakes.
| Daily job | Book + phone | Motice |
|---|---|---|
| Making a booking | The client calls and someone hunts for a free slot in the book | The client picks an open slot themselves in the portal |
| Clashes | Two appointments can be written against the same practitioner | A practitioner clash is blocked at the moment of booking |
| Remaining session credits | Counted by hand from the book when asked | The client sees it on their own screen, and it shows while booking |
| Getting the details | Appointment details are hunted for across different messages | New appointment details are sent by email |
| A course of sessions left unfinished | Goes unnoticed, the client quietly disappears | Remaining sessions and the expiry date show up in a report |
| Data safety | One copy of the book, and the sheet on several computers | One source, a database isolated per business |
Let this be the last time anyone leafs through the appointment book.
An initial assessment might be 60 minutes and manual therapy 45. The calendar places every appointment at its real length.
A client record opens with the time and source of their KVKK consent, under Türkiye’s data protection law. Contact preferences are tracked separately.
When a practitioner’s working hours change, the existing appointments it would affect are listed before you confirm.
Clients book from their own account and see their remaining sessions. They never reach the admin screens.
Pricing
A single-practitioner practice and a multi-room clinic do not pay the same. Three things set the price, and we share a firm quote in the demo.
Active clients
Scaled to you
We count clients with an active package in the period, not every record in the system.
The modules you use
As much as you need
Calendar, clients and package tracking come in the base plan. Sales, practitioner earnings and the client portal open as separate modules.
Team size
Per user
Practice manager, reception and practitioner accounts are separate roles.
We share the quote at the end of the demo call, based on the size of your practice.
Motice is booking and business management software for wellness centres and physiotherapy practices. It keeps session types of different lengths, practitioner schedules, client packages, payments and the KVKK consent record in one system. It is not a clinical record system: no diagnosis, treatment plan or medical history is stored.
Contact details, booking history, purchased packages, remaining sessions, payment records and internal notes all sit on the same profile. A standing warning can be pinned to the summary screen, and management-only notes are protected by their own permission.
When a new appointment is created, the date, time, practitioner and service are emailed to the client. They can also see upcoming appointments in their own portal.
Every service type is defined with its own length and which practitioners can deliver it; manual therapy might be 45 minutes and an initial assessment 60. The calendar lays out around those real lengths. Price does not live on the service type but on the package, so for a different price you define a package narrowed to that booking type.
Packages are defined by a session count and a validity window, for example eight sessions valid for 90 days. Every appointment used is written into the session history, and the remaining count shows both on the booking screen and in the client’s portal.
The definitive judgement here belongs to your lawyer; what we can describe is what the system holds and how. No client record opens until the time and source of consent is written down. Email, marketing and transactional permissions are held separately, the client changes them in the portal themselves, and every change goes on the record.
The change opens as a request and shows which appointments would clash before you approve it. So when you say “I am closing Tuesday afternoons”, you see the appointments it affects first.
A practitioner signs in with their own account and sees only their own appointment schedule. They cannot reach revenue or another practitioner’s schedule.
Your client signs in through a link you send. They see open slots, book or cancel, and follow their remaining sessions. They can add the link to their phone’s home screen as a shortcut.
You record a sale with its credit count, validity and amount. Payment can be cash, bank transfer, card on your own terminal, or free of charge. Collected and outstanding amounts stay separate.
Each practice’s data is held separately and the system itself enforces the separation, so even a software bug will not put another practice’s client in front of you. If the Motice support team enters your account, that is logged too.
On your active client count and the modules you use. We share a firm quote in the demo, based on your size.
This page is in English, but the Motice interface is in Turkish. Your reception team, your instructors and your clients all use a Turkish interface. If your staff work in Turkish and you would rather read about the product in English, that is exactly the case Motice fits today. An English interface is not available.
See the system with your own clients. We will plan the setup together and stay with you through the first week.
